Supports a team of property management staff through timely completion of assigned administrative and project duties.

Position Title Responsibilities

  • Outstanding and professional customer service to clients over the phone and in person
  • Assist all potential tenants with their applications, making sure that all documents are complete before receiving them with the necessary documents and payment
  • Type documents and letters as required
  • Filing
  • Communicate with vendors, obtain bids for services and special projects as requested
  • Produce requested reports for board packets in a clean, orderly, and professional fashion. Number pages, label, and copy.
  • Assist in mass mailings, tracking and postage
  • Update vacancies on company website and other online applications
  • Occasional back up for front desk receptionist
  • Open and show vacancies for the property supervisors
  • Answer calls and attend to tenants requests when needed
  • Post notices at various community properties

Qualification/Knowledge

To perform this job successfully, an individual must be able to perform each essential duty satisfactorily. The requirements listed below are representative of the knowledge and skills, and/or abilities required.

  • Ability to work under tight deadlines and consistently meet deadlines
  • Valid California Driver’s License, have a operable vehicle and able to provide proof of auto insurance within the first 7 days of employment
  • Exhibit professionalism, professional attire and demeanor at all times
  • Demonstrates effective communication skills consisting of oral, written
  • Demonstrates problem-solving abilities
  • Ability to draft correspondence and respond to inquiries and client concerns effectively and independently

Must be proficient with computer programs needed for specific position including Microsoft Outlook, Word, Excel, and Publisher

  • Demonstrates organizational skills and ability to independently prioritize daily workload
  • Must work effectively with co-workers, customers, and other sharing ideas and a constructive and positive manner’ listening to and objectively considering ideas and suggestions from others; keeping commitments; keeping others informed of work progress, timetables and issues; addressing problems and issues constructively to find mutually acceptable and practical business solutions; addressing others by name, title or other respectful identifier, and; respecting the diversity of our workforce in actions, words and deeds
  • Computer proficient with Word, Excel and Outlook
  • Detail-oriented with an ability to multitask
  • Organizational, verbal and written communication skills a must
